What is PaperCut?

PaperCut is a print management system designed for education. Papercut helps us save money by monitoring and controlling printing. It includes features such as the FollowMe Printing and Web Print.

Using the Copier

Logging In

  1. When you walk up to a copier that supports PaperCut, you will see the following screen. You must swipe your badge or enter in your Active Directory credentials.

  2. If you do not have jobs waiting in the queue, you will see Figure A. If you have jobs waiting, you will see Figure B. Select 'Use Copier' either way to use the copier.

    1. You are now at the copier main menu and can navigate to your desired function!

    Scanning Documents

    When scanning documents, instead of searching for your email address, you can touch 'Scan to Myself' and the copier will scan the document and send it directly to your email address.

    FollowMe Printing

    FollowMe printing allows you to print a job into a universal queue, and retrieve the print job from any copier that supports PaperCut and any finishing options you selected.

    'Simple' Jobs

    Most simple jobs can be printed using the default settings.

    'Complex' Jobs

    'Complex' jobs are jobs that require special finishing options, such as a specific paper type, stapling, etc.
    1. Select your finishing options like you normally would and print to the FollowMeCanon printer.
    2. Check out the list maintained by your department with the assistance of IT to find a copier that will support your print job.
    3. If you print to a copier that does not support your print job, it will still print without the finishing options you selected.

    Using the Bypass Tray

    1. Print your job to the FollowMeCanon queue, and ensure that you have select the Multipurpose/Bypass tray as your Paper Source.
    2. Before you load the bypass tray, badge in to the copier and retrieve your job. At this point, the copier will beep and the error light will blink. The job has moved from the FollowMe queue to the copier queue.
    3. Load your paper into the bypass tray, and select your paper type.
    4. Your job should now print!

    Releasing a Print Job

    1. Log in to the copier using your ID Badge or Active Directory credentials.
    2. Select your print job and select 'Print', or select 'Print All' if you want to print everything in the queue.

    1. Navigate to Bay Papercut and log in with your Active Directory credentials.

    2. From here, you will be able to see some statistics like your current balance and your environmental impact.
    3. Along the left side of the screen, you will find the main menu.
      • Redeem Card: Click here to redeem PaperCut Cards to increase your quota amount.
      • Transaction History: This will show you any changes to your quota amount.
      • Recent Print Jobs: Here you can view information about your past print jobs, such as what printer it was sent to and the status of the job.
      • Jobs Pending Release: Click here to view any documents from the FollowMe queue and from Web Printing.
      • Web Print: This will allow you to print specific documents (images, Office documents and PDFs) from a Web Browser. For instructions, see below


    PaperCut's main page

    Web Printing

    • Web Printing is intended to print documents from personal machines while connected to Bay College's network.
    • The document types it can print are fairly limited, but include Office, images, PDFs and XPS documents.
    • Jobs will be printed in color, unless released at a black and white only copier.
    • Jobs will be duplexed automatically.
    • Advanced finishing options, such as stapling, are currently unavailable.
    1. Sign into Bay Papercut with your Active Directory credentials.
    2. Click Web Print, along the left hand side of the page.

    3. Click on Submit a Job to upload a file for printing.
    4. Now, you will enter how many copies you would like, and click Upload Documents.
    5. Here, you can drag and drop files from your computer or click Upload from Computer.

    6. Once you have uploaded your documents, you can click Upload & Complete.
    7. You will be presented with the status of each document.

    8. If you attempt to upload an invalid file type, you will be given the following error message.

    Environmental Dashboard

    On the Bay Papercut website, there is a link to Bay College's Environmental Dashboard, as shown below:

    The Environmental Dashboard gives a broad overview of the printing impact at Bay College, as well as how your printing compares to the organizational average. An example page is shown below: Example of a user's environmental impact

    Environmental impacts are measured by the number of trees used, how much carbon dioxide was released, and the equivalent number of 60 watt light-bulb hours used in the production of paper used at Bay College. According to the Papercut website, one tree can produce about 8,333 sheets of paper, based upon the book Recycled Papers: The Essential Guide by Claudia Thompson. A standard tree is 40 feet tall and is 6 – 8 inches in diameter.

    Student Quotas

    • Students are allotted 250 prints or copies per month.
    • These refill on the 1st of the month.
    • Students can purchase 250 more prints/copies for $5 at Student Accounts in Escanaba or at Student Services in Iron Mountain.
    • Default prints allotted will NOT roll over the next month. However, purchased prints will roll over month to month.

    Checking Your Quota

    • At the Copier
      1. Badge into a copier using your Bay College Photo ID.
      2. The PaperCut screen displays your quota in the upper right hand of the screen.

    • On the Printing.baycollege.edu Website
      1. Log into Bay Papercut.
      2. Your current quota will be listed in the Summary view.

    Purchasing and Adding More Credits

    1. Purchase a PaperCut Card from Student Accounts in Escanaba or Student Services in Iron Mountain.
    2. Log into Bay Papercut.
    3. Click Redeem Card, on the left hand menu.
    4. Find the code on your PaperCut Top Off Card.

    5. Enter the code into the textbox on the website, as shown. Please note that the code is case sensitive and requires all the dashes.

    PaperCut Client

    The PaperCut client will show you your current print quota and will push various notifications to you. It is installed on all Bay College machines.

    Viewing your Quota and Accessing the PaperCut Website

    • To open the client, click the arrow to expand your tasktray (located in the bottom right corner, near the clock), then right click the PaperCut icon and select Open.

    • With the client open, you can see how many credits you currently have.
    • Clicking Web Interface will open Bay Papercut.
    • Clicking the black and green Refresh icon will refresh your quota. This is useful if you just printed and need to see an updated amount right away.

    Notifications

    • The PaperCut Client will automatically notify you of certain actions such as low balance notices, documents being held in the FollowMe queue, documents being deleted from a queue, and various other messages. Below is an example notification of a document being printed to the FollowMe queue.
