Canon iR Advance dx

Bay College has a variety of Canon iR Advance models. Their interface is similar, but some have additional features such as color, stapling, collation, etc.

Making a Copy

  1. Login to the copier using either your Bay College ID Badge or Bay College username and password.
  2. Press the Access Device Button and then press the Copy Button.

  3. Select the copying options that you wish to use. The individual buttons of the options menu are described next in left to right order.

    Select Color Button 
    Allows the user to force the printer to print either in color or black and white.
    Direct / Copy Ratio Button 
    Allows the user to either make a smaller or larger print from an original document. The left side of this button is labeled "Direct" and resets the current ratio back to 100%.
    The Select Paper Button 
    Forces the copier to use a specific size and tray for the paper output. This is useful when trying to print letter size paper but the copier is detecting a larger paper size.
    Number of Copies 
    The user uses the copier's numeric keypad to input the number of copies.
    Previous Settings Button 
    Allows the user to select from the three (3) most recently used setting configurations.
    Favorite Settings Button 
    Allows the user to select a group of settings that are predefined (e.g. - double sided copiers that are stapled and collated).
    Check Settings Button (upper right corner above Previous and Favorite Settings) 
    Allows the user to view the current setting configuration in one list and make changes.

    Finishing Button 
    Allows the user to either collate the copiers (pages 1, 2, and 3 followed by pages 1, 2, and 3), group the copies (2 copies of page one followed by 2 copies of page two), staple the copies, and hole punch the copies.
    2-Sided Button 
    Allows the user to enable or disable two sided copying. The user can also convert a single sided document into a double sided document and vice-versa.
    Density Button 
    Allows the user to force the copier to print more densely than the original document.
    Original Type button 
    Allows the user to tell the copier that the original document is of a certain class of document (e.g. text, photo or map). The copier has predefined settings for those document classes.

    Interrupt Button (lower left corner) 
    Allows the user to put their copy job ahead of another user's document.

    Allows the user to select some more advanced features, such as setting the sharpness of the copy output.

  4. When you have selected all of the desired options, press the Green start button on the copier's keypad.

Printing to the Copier

  1. In the document that you wish to print, navigate to the print button. Alternatively, you can press the key shortcut of CTRL+P.
  2. Select the printer that you wish to print to and then click Printer Properties.
  3. The Printer Properties window opens. The Basic Settings is the default tab that is open. To switch between tabs use the Right Arrow key. The most commonly changed settings are on this tab, such as changing the page size and forcing the copier to print on both sides.

    Profile 
    Users can select a profile from the drop down menu such as Default Settings, Raster, 2-on-1 [1 sided], 2-on-1 [2 sided], 1 sided, Scale to fit A4, Scale to fit Letter, Confidential, and Black & White.
    Add 
    Users can add a new profile.
    Edit 
    Users can edit a profile.
    Output Method 
    Users can choose an output method such as Print, Hold, Secure Print, Store, Promote Print, Scheduled Print, and Edit and Review.
    Page Size 
    Users can choose a paper size from the drop down menu. Letter is the default size with copier model determining remaining sizes.
    Output Size 
    Users can choose what size paper to output to. This means that the paper size of the document being printed and the size of the paper coming out of the copier don't have to match. Match Page Size is the default with the copier model determining remaining sizes.
    Copies 
    Number of copies to be made. User can choose any number between 1 and 9999.
    Orientation 
    Users can choose Portrait or Landscape. Portrait is the default. To switch between the two Tab to Portrait option then press the Right Arrow key.
    Page Layout 
    Users can select how many document pages get printed per physical piece of paper with the default being 1 on 1. Besides changing how many pages appear on 1 piece of paper you can also choose several "Poster" options that allow for breaking up a large document across multiple pages so that the pages can be taped together to reform the larger document.
    Manual Scaling 
    This is an unchecked checkbox by default. When checked it allows the user to manually select any scaling percentage from 25% to 200%.
    Origin at Center 
    This checkbox is only available if Manual Scaling is selected. It changes the origin of the scaling from the upper corner to the center of the document.
    1-sided/2-sided/Booklet Printing 
    Changes whether the copier prints on just one side of a page, both sides, or prints the pages for binding as book.
    Binding Location 
    If you choose Booklet printing then you'll also need to select which edge the book is to be bound on. This causes the copier to leave a margin (called a "Gutter") on the side to accommodate the binding. Long Edge [Left] is the default.
    Gutter 
    Allows the user to change how much extra space is left for binding.
    Staple/Collate/Group 
    Allows the user to change how pages are organized as they come out of the copier. Collate is the default.
    1. Off 
      Selecting Off causes the copier to print all copies of page 1, then all copies of page 2, etc. There is no effective difference between this and Group.
      Collate 
      Collate causes the copier to print 1 copy of each page per copy requested. For example a 4 page document printed multiple times would print the pages like this: 1,2,3,4/1,2,3,4/ etc.
      Group 
      Groups like page numbers together. Effectively the same as Off.
      Staple + Collate 
      Same as Collate above but also staples each set together using a metal staple. Not all copiers have this option.
      Eco (staple free) + Collate 
      Same as Staple + Collate but without the metal staple. Pages are instead crimped together. Not all copiers have this option.
      Staple + Group 
      Same as Group above except that each page number grouping is stapled together with a metal staple. Not all copiers have this option.
      Eco (staple free) + Group 
      Same as Staple + Group but without the metal staple. Pages are instead crimped together. Not all copiers have this option.
    Staple Position 
    If the user has selected a stapling option they can change where the staple is placed. Upper Left is the default and each copier may have different options for locations.
    Color Mode 
    User selects which color mode to use.
    1. Auto [Color/B&W] 
      This setting allows the copier to switch from color to black & white depending on the color of document being printed.
      Color 
      Forces the copier to print in color. Note that a black & white document will still be black & white as the copier cannot add colors that don't exist.
      B&W 
      Black & White forces the copier to print in greyscale. This will cause a color document to not print in color.
    Number of Colors Settings 
    Allows the use to choose between printing in all colors or printing with just two colors one of which has to be Black.
    View Settings 
    Allows the user to see all currently selected options as one list. Also allows the user to copy those settings to the Clipboard to be pasted into a document.
    Language Settings 
    Allows the user to change which language is used in settings.
    Restore Defaults 
    Resets all settings back to the default values.
  4. The Page Setup tab allows the user to adjust the physical aspects of the page that is being printed. For example, the user can adjust the page output size (such as the Letter size of 8.5 inches by 11 inches).

    Profile 
    Users can select a profile from the drop down menu such as Default Settings, Raster, 2-on-1 [1 sided], 2-on-1 [2 sided], 1 sided, Scale to fit A4, Scale to fit Letter, Confidential, and Black & White.
    Add 
    Users can add a new profile.

    View Settings 
    Allows the user to see all currently selected options as one list. Also allows the user to copy those settings to the Clipboard to be pasted into a document.
    Language Settings 
    Allows the user to change which language is used in settings.
  5. The Finishing tab allows the user to adjust how the document is printed. For example, the user can opt to either group the output (groups of one page followed by groups of the next page), collate the printed document (print all of the pages in order and then print the next copy), or staple the printed document. Further, the user can elect to hole punch the printed document.

  6. The Paper Source tab allows the user to pick a specific drawer. This is useful if the user has put special paper into one of the drawers.

  7. The Quality tab allows the user to specify what class of document he or she is printing on that copier. The copier will automatically adjust its settings to accommodate that document type, allowing for a higher quality picture.

Utilizing the Copier's Stapler and Hole Punch

Many of our copiers have stapling and hole punching capabilities built into them. To use these features, please do the following.

  1. Navigate to the print area of the program (usually File -> Print).
  2. Select the desired Printer.
  3. Click Printer Properties.

  4. On the window that appears, click the Finishing tab.

  5. To enable stapling, click the Finishing drop-down box, then click either Staple+Collate (more commonly used and keeps the pages in order) or Staple+Group (staples each first page together, then the second page, then the third page, and so on).

  6. To enable hole-punching, click the Hole Punch drop-down box, then click 2/3 Holes.

  7. Click OK on the printer properties window.
  8. Click print to start printing.

Scanning a Document to Email

  1. Login to the copier using either your Bay College ID Badge or Bay College username and password.
  2. Press the Scan and Send Button, as shown in the following picture.

  3. Select the destination that you will be emailing the document to. This is done primarily through either the Address Book Button, One-Touch Button, New Destination Button, or Send to Myself Button. The fourth option, send to a Personal Folder, is available, but is seldom used in my experience at Bay College.

    Address Book Button 
    Allows the user to select from saved addresses. The user also accesses the LDAP Lookup Tool from this menu. Those instructions are under the next sub-heading.
    One Touch Button 
    The user selects an email address from a quick select menu. An example menu is shown in the following picture.

    New Destination 
    The user inputs a new email address to send the scanned document to.
    Send to Myself 
    The user presses this button to send the scanned document to him-/her-self.

  4. The other portion of the Scan and Send Menu are the options for the scanned document. This sub-menu is located on the right side of the Scan and Send Menu. The commonly used options include the following:
    Choose a color 
    The default color for scan and send is automatic detection of color. The user can click the Auto (Color/Grey) button to force the copier to scan as Black and White or to force the scan in color.
    Scan Density 
    By default, the scan will scan 300 by 300 dots per inch (DPI). If a user wants to have more or fewer dots per inch (thereby increasing or decreasing the file size), the user can press the 300x300 dpi button to enter the scan density options.
    Page Size 
    By default, the copier will automatically attempt to detect the page size of the document that the user is trying to scan and send. If the user wishes to force the copier to use a different size, they can do so by selecting from the options located in the Page Size menu.
    PDF Size 
    By default, the copier will a compact version of the PDF, which significantly reduces the file size of the scanned PDF. If the user wants to use a larger PDF size, they can do so by pressing the PDF (Compact) button.
    2-Sided Scanning 
    If the user uses the document feeder located on the top of the copier, the user can then scan both sides automatically. The user will need to force 2-sided scanning by pressing the 2-Sided Original button.
    Different Size Originals 
    If the user has a document that has different page sizes, the user can force the copier to scan different sizes.
    Options Button 
    This button contains more Options for scanning and sending.

Canon also provides its own Scan and Send Overview support document.

Finding an Email Address using the LDAP Server

  1. Login to the copier using your Bay College ID badge or Bay College username and password.
  2. Press the Scan and Send button.
  3. Press the Address Book button under the Specify Destinations menu.
  4. Press the Search by Name button, as shown in the following picture.

  5. Start typing the name you wish to search for in a First Middle Initial Last format. Press OK when done.

  6. Select the criteria you would like to search by clicking the drop down arrows.
  7. Select your email recipient and press OK.
